Internal Communication Project at Galp  

Introduction

Galp overhauled its entire Corporate TV channel using Amplitude Net's World VDS Digital Signage software.

The implementation of the digital signage project for Galp's internal communication started at the Sines Refinery, with over fifty screens, primarily aimed at displaying production data through the integration of some internal systems.

With the move of the headquarters to the ALLO building in Alcântara, Lisbon, Galp expanded to over forty screens, reinforcing its commitment to innovation and digital communication.

This project was developed with the goal of creating a dynamic and efficient communication channel, aligned with the new innovation identity of the headquarters and the company's global strategy.

Goal of the Project

The main goal of the project was to improve internal communication, fostering greater dynamism and interactivity among employees, as well as the sharing of production data. By implementing a digital signage project, the aim was to make communication more accessible and attractive, optimizing the dissemination of corporate, informational, and motivational content.

Solution Details

  • Locations: Sines Refinery, Headquarters at the ALLO Building in Lisbon, and Alcobendas in Spain
  • Content: Managed by a multifunctional team of around twenty users
  • Content Management Responsible: Internal Communications Department and local coordinations
  • Target Audience: All Galp employees present in the central offices, as well as at the refinery and offices in Alcobendas

Main Features

1. Displays:

  • Around one hundred screens installed, some of which are touch screens, strategically distributed across the Sines Refinery, ALLO building, and in Spain
  • LED panels with full integration into the digital signage system

2. Content Programming

Among the content displayed in the broadcast, there is great diversity, including corporate, informational, entertainment, and even interactive materials for employees (such as quizzes and contests).  

The general guidelines for the channel’s content programming are:  

  • Dynamic: High content rotation, leveraging the audience's attention to deliver relevant messages in a short amount of time.
  • Visual: Use of images, movement, and design combined with the natural brightness of the screens to capture the audience's attention.
  • Light: Avoid overwhelming the audience with excessive information. Messages are delivered concisely, with a greater focus on images and motion, typical of audiovisual communication.
  • Updated: Through a digital remote management system, content is easily kept up to date, as updates are made in real time.
  • Attractive: Use of multimedia elements like images and videos, as people tend to prefer watching content rather than reading.  

3. Types of Content:

  • Short: Direct, high-quality content with engaging programming.
  • Informative: Financial indicators, OKRs, company news, safety campaigns, and information about corporate culture.
  • Interesting: Employee benefits, event agendas, daily menus, volunteer programs, and posts from the company's social network.
  • Power BI Dashboards: Real-time data visualization (e.g., production data).
  • TV Channels: Displaying channels relevant to the company and external news.
  • Segmented Content: Adapted to different locations and groups of employees.
  • Interactive Content: Quizzes and polls.  

4. Special Features

  • Integration with Power BI: Allowing the display of updated indicators and personalized analyses.
  • Integration with SharePoint: Facilitating access to internal events and news.
  • Queue Management: Optimizing the flow of people in internal medical offices.
  • IPTV Channels: Including external channels (Bloomberg, CNN, etc.) as part of strategic communication.
  • Alarm System: Monitoring the entire network with an active help system that sends emails whenever an issue is detected, such as a screen going offline.

In addition to the features mentioned above, there were other significant challenges to overcome, including internal security aspects and others highlighted below:  

  • Remote Desktop System: Some of the content to be displayed in the broadcast consisted of dashboards with KPIs from the Sines Refinery, generated by an industrial software application without any API or alternative means to retrieve the data. This issue was resolved by developing a new app within the digital signage software (called "Remote Desktop") with the following functionality: whenever the broadcast reaches the slide containing it, the system establishes a remote desktop session with a specific machine so that during the time allocated to that slide, the content can be broadcast to the general channel where the dashboards are intended to be displayed.
  • Presentation of Authenticated Internal Dashboards: Complementing the KPI dashboards mentioned earlier, there were others associated with proprietary Galp software with an internal authentication system. This issue was resolved by implementing an authentication concept similar to what was already in place for Power BI access, thus enabling Galp to display all the dashboards it had envisioned on its new channel.

The digital signage system enabled:

  • Greater dynamism in internal communication.
  • Direct engagement of employees through interactivity on touch screens.
  • Centralization and efficiency in content management, with real-time updates.
  • Standardization of communication between Lisbon, Sines, and Spain, with the possibility of expansion to other locations.
